Privacy Policy

1. Who We Are

Dispatch ("we," "us," "our") is a production management platform operated by Think Less LLC. We provide AI-powered tools for film, video, and content producers to manage projects, budgets, schedules, meetings, and on-set communications. Our website is located at dispatch.film.

2. Information We Collect

Account Information

When you create an account via Google Sign-In, we receive your name, email address, and profile picture from Google. We store this information to identify your account and personalize your experience.

Company & Profile Information

You may provide your company name, role, team size, content types you produce, and company documents (brand bibles, rate cards, capabilities decks, past proposals). These are used to personalize AI-generated outputs to match your style and context.

Project Data

You create and manage production projects within Dispatch. This includes RFP text, budgets, schedules, call sheets, crew information, location data, and creative documents. All project data is stored in your account and is not shared with other users or organizations.

Meeting Transcriptions (Dispatch Notes)

When you enable Dispatch Notes, our meeting bot may join video calls on your Google Calendar to record and transcribe them. Transcripts are processed by AI to extract production-relevant intelligence (decisions, action items, schedule changes) and routed to your project. We store transcripts, extracted facts, and attendee information (names and email addresses from the calendar invite).

SMS Messages (Field Mode)

When you enable Field Mode, you connect your mobile phone number to your Dispatch account. SMS messages you send to our Twilio-powered number are received, processed by AI to extract production intelligence, and stored as field notes in your project. We store the message text, your phone number, AI-generated replies, and extracted actions. Voice memos sent via MMS are transcribed and processed identically to text messages.

Usage Data

We collect standard usage analytics including pages visited, features used, and session duration to improve the product. We use Vercel Analytics for this purpose.

3. How We Use Your Information

We use your information to:

  • Provide and operate the Dispatch platform
  • Generate AI-powered production documents (budgets, schedules, treatments, call sheets)
  • Process meeting transcriptions and extract production intelligence
  • Process SMS messages and voice memos for Field Mode
  • Send you SMS replies with production intelligence and answers to your questions
  • Personalize AI outputs based on your company profile and documents
  • Build benchmarks from your anonymized project data to improve accuracy over time
  • Send transactional emails (meeting summaries, account notifications)
  • Improve the platform based on usage patterns

4. AI Processing

Dispatch uses third-party AI services (Anthropic Claude, OpenAI Whisper) to process your data. Your project data, meeting transcripts, and SMS messages are sent to these services for analysis. We use these services via their APIs with data processing agreements in place. Your data is not used by these providers to train their models. AI-generated outputs (budgets, summaries, intelligence) are stored in your account.

5. Data Storage & Security

Your data is stored on Vercel (application hosting and blob storage), Neon (PostgreSQL database), and Twilio (SMS message logs). All data is encrypted in transit (TLS) and at rest. We use industry-standard security practices to protect your information. Access to production systems is restricted to authorized personnel.

6. Data Sharing

We do not sell your personal information. We share data only with:

  • Service providers who help us operate the platform (Vercel, Neon, Twilio, Anthropic, OpenAI, Resend, Google) under data processing agreements
  • Your organization — if you are part of a team/tenant in Dispatch, other members of your organization may see shared project data
  • Meeting attendees — when Dispatch Notes generates a meeting summary email, it is sent to the attendees of that meeting
  • Legal requirements — if required by law, regulation, or legal process

7. Benchmarking & Anonymized Data

We may use anonymized, aggregated data from completed projects to build industry benchmarks (e.g., average crew rates by market, typical post-production timelines by project type). This data is stripped of all identifying information before aggregation. These benchmarks improve the accuracy of AI-generated budgets and schedules for all users.

8. Your Rights & Choices

  • Access & export: You can access all your project data through the Dispatch interface. Contact us to request a full data export.
  • Deletion: You can delete individual projects from within the app. To delete your entire account and all associated data, contact us at hello@dispatch.film.
  • Disconnect Field Mode: You can disconnect your phone number at any time from Settings, immediately stopping all SMS processing.
  • Disable Dispatch Notes: You can disable meeting auto-join at any time from Settings.
  • SMS opt-out: Reply STOP to any Dispatch SMS to immediately unsubscribe from Field Mode messaging.

9. SMS & Messaging Disclosure

By enabling Field Mode and connecting your phone number, you consent to receive SMS messages from Dispatch at the phone number you provide. Message frequency varies based on your usage. Message and data rates may apply. You can opt out at any time by replying STOP to any message or disconnecting your phone in Settings. For help, reply HELP or contact hello@dispatch.film.

10. Cookies & Tracking

We use essential cookies for authentication (session cookies via NextAuth/Google SSO). We use Vercel Analytics for anonymous usage statistics. We do not use advertising cookies or third-party trackers.

11. Data Retention

We retain your account data and project data for as long as your account is active. Meeting transcripts are retained for the duration of the associated project. SMS messages and field notes are retained for the duration of the associated project. If you delete your account, we will delete all associated data within 30 days, except for anonymized benchmark data that has already been aggregated.

12. Children's Privacy

Dispatch is designed for professional use by adults. We do not knowingly collect information from anyone under the age of 16. If we learn that we have collected data from a child under 16, we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through the app. Your continued use of Dispatch after changes are posted constitutes your acceptance of the revised policy.
